Booking & Cancellation

What is your cancellation policy?

Once booked and paid for there are no refunds for unfilled spaces. You can however sell your places and change the name on the booking at no additional cost. Just let us know by emailing ceroceventsltd@gmail.com.

How will I receive my ticket?

Once booked, that’s all you have to do until you arrive. You will receive an automated confirmation for your booking when you book online. You will not be sent anything via post.

On arrival you’ll be given your entry wristband, dance numbers, safety pins and lucky dip slips, all under the surname you booked with. 

My friend now wants to compete in my space, what do I do?

If you have sold or given your place to someone else that is fine. All we need to know is the new name – any payments for places etc need to be sorted out privately. Ceroc Events Ltd will not be able to refund and then resell your place. Email ceroceventsltd@gmail.com with the new details.

I made a mistake when booking, can you please amend my booking?

Please email ceroceventsltd@gmail.com with details of any mistake identified as soon as possible and we will see if we can help. An admin fee may be charged.

Take care when booking to check the Basket to verify all the details before paying for the tickets.  

What if I book and then need to cancel? Do I get my money back?

What payment options are there?

Bookings can be made using all major credit/debit cards, however we do not accept American Express. 

Which organisation is processing my payments?

Worldpay. They provide the online payment infrastructure for a wide range of online payment services, and are leaders in this field. 

Is the online payment process safe?

Our online system is very safe with the payment taken via a secure process with WorldPay, however, if you wish to pay in cash, you can do so on any Ceroc Live or Ceroc Dance door, by seeing the Door person and filling out an application. No cheques.

I'm having trouble booking online

Try shutting your browser, re-opening and try again.

Unfortunately debit card companies unlike credit card companies track your spending patterns and will very often decline your card with no explanation if they think an online purchase doesn’t fit in with your regular shopping pattern. 

The most common issue is people trying to book using a work computer, the transaction will go all the way through and then your company firewall will block the transaction without an explanation. 

Occasionally, some home PCs also have security settings set too high, which prevents your browser from accessing the Credit card pages.

How do I book tickets online?

Simply head to eventbookings.ceroc.com  and click the appropriate button. It will open a new window where you will be taken through the booking process. You will need a debit or credit card to complete the purchase of tickets and competition spots.

Gender Balancing

How are you controlling the lead/follow mix when booking?

When there is a lead/follow disparity (which usually means more follows), then booking restrictions will apply. 

This means that we will track the lead/follow balance as we go and close or release spaces accordingly. 

Unlike other events, we believe that getting the balance of leads to follows is important in terms of making this an enjoyable and inclusive event for everyone. 

It will certainly help if you endeavour to balance your bookings with dance friends before you try and book. 

I'm a follow and I want to go to attend your event. How can I do this if the lead/follow balance is restricting bookings from follows?

As a follow you can do a number of things: 

  1. You find a lead and book a couple (one lead & one follow) ticket. 

  2. You wait until closer to the date of the event when the leads have started to book up and hopefully you will have the opportunity to book (although never guaranteed) 

  3. Ask to be added to our waiting list by emailing ceroceventsltd@gmail.com.

This gender control is frustrating as I want to book now!

We totally accept that this is frustrating, but we believe it’s an important feature of our event to ensure people have equal opportunities to dance and enjoy the event.  

Would you still wish to come to the event if there were such an imbalance that you didn’t get any dance opportunities? 

Isn’t 'gender balancing' unfair, or illegal?

Quite the opposite! We have consulted with the Equal Opportunities Commision as part of our due diligence procedures and they have confirmed in writing that this is not illegal if we make available equal numbers of tickets for women and men.  

On the contrary, offering more tickets for women and fewer for men would be illegal.  

It’s also worth noting that from our perspective that gender balancing means we lose a lot of potential sales, as well as generating ourselves lots of additional administration. We hope this goes some way to explaining that there is no agenda here, other than we are trying to create the best possible event for everyone. 

Checking In/Out

Do I need to bring anything with me when I check in?

Bring a printout, image or download of your booking details which should have been emailed to you at the time of booking.  If you didn’t make the booking for yourself please tell us the name of the person who made it on your behalf. 

What time can I check in/do I have to leave?

Competitors – the doors will open at 9am and the lucky dip competition pairing starts at 9.50am. Please make sure you arrive in plenty of time to settle in and get ready for the day. On entry you will be checked in and if competing, directed to receive your your competitor envelope which will contain your wristband, competitor number, safety pins and lucky dip slip (follows) or sticker (leads). Music will be on from 9am should you wish to warm up.
Except for follows in Top Cats Am and Top Cats Pro categories, only the leads will get a competitor number.
This year Top Cat Am and Pro numbers for the follows are red for the judges clarity.

Spectators – those with a spectators ticket must leave by 9pm.

Results party and evening freestyle – those with this ticket can enter from 8pm.

Do I need to know my group leader’s surname in order to register?

If you didn’t make the booking yourself please ensure you know your group leader’s surname prior to registering.

Please note you cannot collect a wristband for a third party. Wristbands will be given to the individual who will wear it and it must be put on prior to leaving the registration room. 

How do I pick up my dance numbers and wristbands?

On the morning of the Chill Out Champs you will need to come to the front desk and give the name of the person who booked for you. Under that name you will find your dance number and your wristband for the event.

Are there spaces to change/get ready?

Yes, there will be male and female changing rooms behind the stage and also in the café at the far end. These are strictly for getting changed and doing make up etc.
Entry for behind the stage is to the right of the foyer area (between the toilets and the queries desk). Head through the double doors and up the stairs. Once upstairs, men will go to the right and ladies to the left.
For the café area there will be two areas cordoned off for privacy. The café area is situated at the back of the hall past the raked seating.

Where can I keep my stuff? Is there a cloakroom?

You are responsible for your own items. We will have coat racks available for outside coats, but please bring the minimum equipment you need.
There will also be coat racks and hangers in the changing rooms and at the back of the main hall for you to hang costumes on.

Where is best to park?

There is lots of cheap, all day parking in the town centre or you can travel in by train. Parking is free on Sundays after 4pm.
The venue is just a 5-minute walk from the train station.

All the car parks are pay by machine or to make it easier they use the MiPermit or APCOA apps.

Do not park in the Borough Parade car park (the one behind the venue) during the
day as it’s a short stay car park (2 hours only) until 4pm on a Sunday. Same
applies on a Monday for the Tea Dance.

Where can I get food and drink?

You are welcome to bring your own food and drink (non-alcoholic) into the venue which is right on the high street with several fast-food chains, a Tesco, pasty shop, restaurants and chip shops, etc within a 2-minute walk. Please keep as hydrated as possible to help you perform at your best.
There will be a bar in the evening (situated next to the café/breakout area)
The amazing Dot will be providing scrumptious cakes during the evening freestyle at around 10pm along with tea/coffee (all part of your entry fee).

Can I bring my own food and drink in?

Yes you are welcome to bring your own food and non-alcoholic drink to the venue. Alcoholic drinks are not allowed during the competition. A full bar is available in the evening.

Can I come and go?

Yes! So long as you keep your wristband on, you will need to show the door person when you re-enter.

Where do I pin my numbers?

On the back of your top with 4 safety pins. You may wish to reinforce your number with tape etc. If your top does not have a back, then you can pin to the front of your top or your trousers.

Event

Are the main Dance Areas air conditioned?

Yes the venue is air conditioned. In addition we will bring our industrial sized fans to increase airflow.

What time does the evening freestyle end?

Midnight!

Will I have to wear a wristband all the time?

Yes, you do while you are inside the venue.

The wristbands are also great for security ensuring that people who should not be at our event can be easily identified and removed. 

What if I lose my wristband?

We’re sorry but it’s no different to going to a pop concert or a football match, if you lose your wristband you will have to buy a replacement (£199). 

The security wristbands are very difficult to lose. They literally have to be cut off with scissors and cannot be removed accidentally. 

Miscellaneous

Can I film any of the competition with my phone/camera?

It is permissible to film at this event.

Will there be anyone on site selling dance shoes?

There will be shoes on sale for men and ladies. 

I want to watch my partner/family, but I do not dance, so which ticket do I buy?

You should buy a Spectators ticket for £16.00, which allows you entry to spectate only from 9.30am to 9pm.

Free drinking water?

Yes, there will be jugs of water available at the bar. We strongly encourage all dancers to bring reusable plastic / metal water bottles. 

Make sure you mark up with your full name to assist us with lost property. 

I'm a Ceroc Taxi dancer/crew member. Are there any discounts available?

There are no discounts for Ceroc Taxi dancer/crew members.
